Workflow

One file per provider. Every date in one place.

Workflow is the multi-client system of record members run their provider clients in. Every clinician, every state, both workstreams, and the renewal dates derived from the file itself rather than typed into a calendar and forgotten.

What a file moves through

The same five stages, whatever the payer and whatever the state. This is the shape of the work, not the software.

Intake

Provider, states, specialties and every document that proves them.

Verify

Primary source verification, licenses, coverage, attestations.

File

Credentialing packets and payer enrollment applications submitted.

Track

Status, follow-up and what each payer is still waiting on.

Renew

Every expiry worked ahead of its window, in every state.

Illustrative. The stage strip shows the outline of the process taught in the Academy. It is not the product's internal logic, rule set or data model.

What is in it

Multi-client by design

Several practices at once

Members carry more than one provider client. Workflow assumes that from the start: clients kept separate, deadlines shown together, so nothing gets buried under whichever practice shouted last.

Reference library

Federal payer material, bundled

Program reference material for VA Community Care, TRICARE and CHAMPVA sits inside the system, next to the file it applies to, and is included in every tier at no extra charge.

Dates, derived

The calendar builds itself

Renewal and attestation dates come from the credential and enrollment records already in the file, so the calendar reflects what is actually there instead of what somebody remembered to enter.

Two workstreams, one view

Credentialing and enrollment together

The failure in the home page simulation is a credentialing lapse taking down an enrollment nobody was watching. Both tracks live on the same provider record so that dependency is visible.

Every state, one board at a time

Multi-state without the spreadsheet

A practice licensed in three states has three boards, three renewal cycles and no shared calendar. Workflow holds each state's obligations against the provider they belong to.

Written record

What was filed, and when

Submissions, follow-ups and outcomes stay on the file. When a payer says it never received something, the answer is a record rather than a memory.

Try it

Add a client

Build a provider client the way a member would on their first day, and watch the renewal calendar come out of the file rather than a spreadsheet. Illustration only — nothing you type is saved, sent or collected.

Protected health information. Workflow is built for credentialing and enrollment records, which are provider data rather than patient data. Where an engagement puts PHI into the system, a business associate agreement is required before that work begins.

Questions about Workflow

Can a practice use it directly?

Yes — that is what the Enterprise tier is for. A practice group running its own credentialing desk in-house has the same problem a member does, at a different scale.

Is it a billing system?

No. Workflow holds credentialing and enrollment — whether a provider is approved, current and registered to be paid. What happens to the claim afterwards belongs to a billing system.

What happens if I outgrow a tier?

You move up a tier. The bands exist because carrying twenty-five provider clients is a different job from carrying three, and the pricing should say so plainly rather than through a quote.

Do I need Workflow to be listed?

The listing and the software are separate things. Workflow is what the work is done in, and members carrying clients generally want it well before they are asked why a date slipped.
